Job Description

•Manage office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored.

•Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries

•Oversee and support all administrative duties in the office and ensure that office is operating smoothly.

•Organize and schedule meetings and appointments for the CEO.

•Point person for maintenance, utilities, mailing, shipping, supplies, equipment, bills.

•Facilitate company-wide events or communications which the management has planned.

•Coordinate with IT department for all office equipment

•Responsible for recruiting staff for the office by calling, providing orientation and training to new employees.

•Ensure remarkable performance of office staff by providing them adequate coaching and guidance.

•Participate actively in the planning and execution of company events.

•Develop standards and promoting activities that enhance operational procedures.

•Manage executives' schedules, calendars and appointments.

•Provide general support to stakeholders or visitors come to the company.

•Perform other tasks as assigned by the CEO.

Job Requirements

•BA Degree in Office Management, Business Management and  related discipline
•More than 3 years’ work experience as an Executive Assistant, Personal Assistant or similar role
•Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
•Outstanding organizational and time management skills
•Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members and external partners.
•Excellent verbal and written communications skills
•Discretion and confidentiality
