The Act With Her project is Bill and Melinda Gates Foundation funded adolescent health project, being implemented in Amahara, Oromia, Afra and Tigray regions. It is a pioneering multi-sectoral empowerment model designed to lay the health, education, and social foundations that adolescent girls need to thrive and navigate healthy transitions to adulthood. We are working with adolescent girls, boys, parents, and their communities at large to address issues of gender inequality and social norms.
The Program Assistant is responsible for assisting the Zonal Coordinator in managing the Act With Her Program. The Program Assistant will provide general support in conducting various project management and administrative activities
Duties and Responsibilities
- Prepare and submit monthly financial reports to the Regional Finance Officer and ensure timely settlement of work advances.
- Effect all regional office payments and ensure that all financial documents are maintained properly.
- Assist in preparation of monthly cash forecast for the project.
- Maintain petty cash fund and coordinate with the Regional Finance Officer for timely replenishment.
- Assist in preparation of project work plans.
- Assist in organizing training/workshops; ensuring venues are appropriate and booked; and ensuring lodging for participants and facilitators.
- Check completeness of cost share documents prior to submission to the regional office
- Supervise regional office drivers
- Ensure all vehicles have their own logbook and being correctly used to record the history of the vehicle.
- Follow up on CLO vehicles periodic maintenance and liaise with the regional office for timely service.
- Responsible for assignment of CLO vehicles as per the program staff schedule
- Ensure office machines are properly maintained and in operating condition.
- Keeps track of inventories and ensures safety of materials
- Help coordinate disbursement of materials & supplies to Kebele Supervisors based on distribution list and upon approval of the Zonal Coordinator
- Maintain petty cash fund and coordinate with the Regional Finance Officer for timely replenishment
- Ensure office utilities are paid in time.
- Assist staff the in completing time sheets and submit them to the Regional Finance Officer for payroll processing.
- Facilitate and keep staff leave, medical, pension and other entitlement records in collaboration with the regional Program Assistant.
- Develop and maintain filing system (both electronic and hard copies) for financial and personnel file.
- Organize and plan appointment, plan meeting and take minutes of the meeting.
- Assist in the preparation of regular scheduled report.
- Perform other duties as assigned by the supervisor.
- Must have demonstrable personal integrity and honesty and must have pleasant personality.
- BA Degree in Accounting and Finance, Business Administration, or related field.
- Minimum of five years of experience in related fields and experience in NGO work will be an advantage.
- Must have strong writing and communication skills both in Amharic and English.
- Skills and experience in computer applications and utilization of Microsoft Office (Word, Excel and PowerPoint) is mandatory.
- Must have a working knowledge of modern office equipment and should be able to work with minimum supervision and have strong interpersonal skills and skills to promote teamwork.
- Must demonstrate strong interest and commitment to family planning and maternal and child health services and the eradication of harmful traditional practices.
