Job Description:

The Young Men’s Christian Association, commonly known as the YMCA is one of the pioneers on youth development practice in Ethiopia and part of the global YMCAs movement. YMCA works for youth holistic development through health promotion, supporting active engagement, job readiness through trainings and education.

Position: Executive Secretary
Duty of Station: Addis Ababa
Primary responsibilities:
  • Provide administrative and clerical support to all departments.
  • Schedule meetings and arrange conference rooms.
  • Alert manager about cancelations or new meetings.
  • Coordinate travel arrangements and schedule of the Executive Director and Board members.
  • Handle information requests.
  • Prepare correspondence and staff mail into envelopes.
  • Arrange for outgoing mail and packages to be picked up.
  • Manage spreadsheets.
  • Greet and receive visitor.
  • Prepare confidential and sensitive documents.
  • Coordinates office management activities.
  • Determine matters of top priority and handle accordingly.
  • Prepare agenda for meetings.
  • Coordinate committees and task forces.
  • Receive and replay telephone messages.
  • Maintain hard copy and electronic filing system.
  • Determine matters of top priority and handle accordingly.
  • B.A Degree in management/ Language/secretarial science and office management /Administrative services Management and Related field in social science.
  • Min 2 years and relevant experience
  • Good written and oral communication skill in English language
  • Excellent computer skill
  • Able to work independently and highly meticulous.

  • Microsoft skill
Employment Conditions: Period of Employment for One year, possible for extension.
Salary: Negotiable
