About this opportunity

The Project Accountant is responsible for supporting the effective financial and administrative operations of the Canadian Feed The Children (CFTC) programs and operations in the East Africa Region.  The role requires a proactive, dedicated, and dynamic person with some experience in accounting and administration, an attention to detail, and a willingness to learn.  Under the direction of the Finance and Administration Manager, the assistant will work in close collaboration with other CFTC project and financial staff in EARO and with the Home Office in Canada to ensure basic financial and administrative operations. The position holder will also provide hands on support to the Finance and Administrative Manager in financial management and reporting. S/he will be a strong communicator, demonstrate a collaborative and team working spirit and a commitment to producing high quality work.

This role will have a particular focus on the Global Affairs funded SHINE project, which aims to support women-led agribusinesses. Specifically, the role will prepare monthly financial reports, generate transaction input forms and report to EARO and Home Office to fulfill program goals, objectives and deliverables as defined in the strategic plan.

Responsibilities

  • Record monthly financial transactions in accounting package, prepare monthly financial reports (including variance analysis and reconciliations); generate transaction input form;
  • Review quarterly reports of partners and send to Head Office;
  • Perform financial monitoring of partner organizations and report on the same;
  • Maintain existing financial systems including petty cash and cash on hand, expenses, mileage claims, and income & expenditure records; process all payments ensuring adequate supporting data is available;
  • Prepare both cheque & cash requisitions and settle payments by checking all relevant documents and procedure and make sure all supporting documents are stamped PAID;
  • Settle any payments related to CFTC in a timely manner such as employee income tax remittances, withholding tax, Life and Medical Insurance annual premiums, Legal advisor fee, Office lease payment, etc.;
  • Produce daily registration for both cash & cheque for adequate security of proper handling;
  • Prepare and submit payroll for each month on a timely basis;
  • Maintain organized and complete office financial records & reference files on various subjects for easy access and reference;
  • Handle day to day financial transaction process, recording, analysis, financial record keeping and timely reporting;
  • Ensure to collect bank statements and advice;
  • Facilitate the process of the internal and external audits; liaise with external auditors;
  • Facilitate monthly cash count & annual account closures;
  • Settle any bills related to CFTC in a timely manner such as electric bill, internet bill, telephone bill;
  • Maintain fixed asset registry; and keep updated;
  • Conduct inventory of fixed assets and stock items periodically;
  • Ensure approved procurement procedures are followed with procurement records maintained;
  • Assist on cash flow forecast and management;
  • Participate with purchasing committee to recruit service providers for CFTC;
  • Manage vehicle for appropriate use of resources;
  • Represents CFTC Ethiopia in different government offices and NGOs within her/his domain, as assigned by the immediate supervisor;
  • May perform other relevant tasks as directed by the immediate supervisor.

Working Conditions

  • This is primarily an office-based role, with occasional home-based work as appropriate
  • Travel is required occasionally to monitor and inspect the financial situation of partner organizations within the region
  • The role requires significant sitting, working at a computer, etc.

Location:  Ethiopia, East Africa Regional Office (EARO)

Reports to:  Finance & Administration Manager, EARO

Type:  Contract Employment from August 1 st , 2022 – March 31 st , 2025

Job Requirements

Qualifications & Competencies

  • Bachelor’s degree in accounting with 5 years relevant work experience. Work experience in the NGO sector is advantageous and vital
  • Excellent accounting skills including budgeting, auditing, invoicing, credit control, processing backs, cash/check payments
  • Sound knowledge on accounting software – Peachtree, QuickBooks. etc.
  • Experience working with GAC and/or other large donor agencies
  • Experience preparing/managing multi-year institutional funding grants
  • Skills in MS Word, Excel, Power Point, etc.
  • Excellent written and verbal communication skills in English and at least one Ethiopian language – Amharic or Oromifa
  • Excellent client & supplier liaison skills with professional telephone manner
  • Able to solve problems and analyze figures
  • Excellent interpersonal skills, ability to act as a team player and provide a high level of service to internal and external customers
  • Ability and willingness to demonstrate the CFTC values in every aspect of work
  • Ready to work additional and flexible hours when required along with travel to other CFTC locations
  • Desire to make a difference while having fun in the process
