About the Role
Romina PLC is seeking a highly organized, commercially driven, and proactive Export Manager to lead and strengthen the company’s coffee export operations across logistics, documentation, compliance, buyer coordination, systems development, and international market growth.
The Export Manager will oversee end-to-end export execution while also supporting strategic improvements across export systems, operational efficiency, buyer communication, market development, and export marketing initiatives. The role requires someone capable of balancing operational excellence with commercial awareness and process improvement.
Key Responsibilities

Manage the full coffee export process from contract confirmation and coffee preparation to shipment completion and final document dispatch.

Oversee the preparation, accuracy, and timely submission of all export documentation including contracts, invoices, packing lists, certificates of origin, phytosanitary certificates, quality certificates, bills of lading, export permits, bank documentation, and customs-related documentation.

Coordinate closely with banks, shipping lines, freight forwarders, customs agents, ECX, inspection companies, transport providers, warehouses, and government authorities to ensure smooth export execution.

Monitor shipment schedules, container bookings, trucking coordination, warehouse readiness, and vessel timelines to minimize delays and optimize operational efficiency.

Track shipments proactively and resolve logistics, banking, documentation, or clearance issues before they impact buyers or delivery timelines.

Monitor logistics costs, export timelines, and operational bottlenecks, and recommend process improvements to strengthen export performance and profitability.

Support implementation, optimization, and day-to-day use of export management software, ERP systems, shipment trackers, and reporting tools.

Develop, implement, and continuously improve export SOPs, workflows, reporting systems, and internal coordination structures across the export department.

Work closely with internal coffee processing, quality control, finance, and warehouse teams to improve communication flow and operational visibility across the supply chain from processing to FOB shipment.

Prepare export offers, pricing sheets, client presentations, shipment summaries, export performance dashboards, and management reports.

Support the company’s international business development efforts by strengthening communication with existing buyers and helping identify and develop relationships with new importers, roasters, distributors, and international partners.

Contribute to export marketing initiatives including buyer communication materials, green coffee catalogs, website coordination, sample coordination, and international market positioning.

Help improve Romina’s visibility and presentation to international buyers through stronger export communication, structured reporting, and professional documentation standards.

Coordinate sustainability and certification compliance efforts related to Organic, Rainforest Alliance, EUDR, and other international standards, while supporting traceability and audit readiness requirements.

Maintain strong professional communication with international clients regarding shipment status, contracts, quality updates, documentation timelines, payment follow-ups, and operational coordination.

Analyze export operations and recommend improvements in workflow efficiency, buyer experience, shipment turnaround time, reporting quality, and overall export department structure.

Support management in strategic export planning, market expansion, and operational scaling initiatives.
Job Requirements
Qualifications & Requirements Education
Minimum a Bachelor’s degree in:

Logistics & Supply Chain Management, International Trade, Business Administration, Management, Economics, Agricultural Economics, Or related field (Masters is preferred)
Experience
-
Minimum 5–10 years of experience in coffee export operations, logistics, international trade, or export management.

Strong experience in Ethiopian coffee export operations is highly preferred.

Experience managing international shipments, export documentation, logistics coordination, banking procedures, and buyer communication.
-
Familiarity with ECX operations, NBE procedures, export permits, and international shipping processes is highly advantageous.

Exposure to sustainability certifications, traceability systems, or international compliance frameworks is an advantage.
