JOB TITLE: Booking and Reservation Section Head
Being accountable to the Tour Operation Manager, the Booking and reservation Head accommodate clients by booking rooms at the hotels and lodges, keeping records of occupied rooms and guests’ accounts, and making and confirming room bookings.
MAJOR DUTIES AND RESPONSIBILITY:
Being accountable to the Tour Operation Manager, the Booking and Reservation Section Head has the following major duties and responsibilities:
? Accommodate clients by booking rooms at the resort and lodges.
? Make sure that the accommodation is comfortable for the clients with where they are staying.
? Explain all the information and policies regarding the accommodation, for instance, whether people are expected to share rooms, those people/positions not expected to share rooms, whether the company pays for anything above the basic room rate, such as the mini-bar, room service, or phone calls.
? Provide booking services to clients being reliable, responsible, and dependable, and fulfilling obligations.
? Inform the hotels and lodges when clients are arriving so that their rooms will be available.
? Use computers to set up functions; enter data; or process information.
? Analyzing information and evaluating results to choose the best solution and solve problems.
? Provide the booking services to clients being sensitive to others’ needs and feelings and being understanding and helpful on the job.
? Ensure maximum room occupancy within agreed overbooking policy.
? Ensure that inquiries, messages, theatre bookings are dealt with courteously and efficiently.
? Observe, receive and obtain information from all relevant sources.
? Provide information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person.
? Handle complaints, settle disputes, and resolve grievances and conflicts, and negotiate with others.
? Provide the booking services to clients being pleasant with others on the job and displaying a good-natured, cooperative attitude.
? In checking-in of company members, ensure they have a method of payment for any personal charges. Keep a running list of people and room numbers so you can create the room schedule.
? Ensure all facilities such as the rooms, bath, washing machines, driers, water, and others are available during the hours the company will be in the accommodation.
? Develop constructive and cooperative working relationships with others, and maintaining them over time.
? Provide the booking services to clients maintaining composure, keeping emotions in check, controlling anger, and avoiding aggressive behavior, even in very difficult situations.
? Responsible for overseeing all activities of the booking section as well as the coordination of all of the entities involved in the section.
? Keep up-to-date technically and apply new knowledge to the job.
? Provide booking services to clients by accepting criticism and dealing calmly and effectively with high-stress situations.
? Answers client inquiries and helps a firm improve the quality of its customer service.
? Enters customer data into spreadsheets, reviews reservation data and files invoices and also answers phone calls, distributes mail and assists with general administrative tasks.
? Compile, code, categorize and verify information or data.
? Control the check-in process by sending a room list with occupant names to the hotels and lodges well before the start of the tour so they can allocate rooms.
? Make alternate booking arrangements, in the event of changes in the itinerary in the middle of a trip and inform the Logistic Section Head, guide, driver, and others.
? Ensure that the rooms booked for guests have been allocated to them according to the reservations list, both in terms of the room itself and the rate to be paid.
? Carry out any other duties given by the immediate superior.

The Booking and reservation Head reports to the Tour Operation Department Manager.

Education and Training:
? BA Degree in related fields.
? Various training in booking hotels and lodges rooms.
? Training programs that impart a broader knowledge of booking policy and operations.
Knowledge and Experience Required:
? Minimum of four years of relevant experience and training/skills in booking works as well as extensive knowledge of tour and hotel business.
? Experience in supervising a busy booking team in a competitive market.
? Proven experience on the effective use of computers and basic applications of software.
? Experience in tour and hotel business is preferable.
? A complete in-depth grasp of booking principles and practices.
? The ability to listen to and understand information and ideas presented through spoken words and sentences.
? The ability to arrange things or actions in a certain order or pattern according to a specific rule or set of rules (e.g., patterns of numbers, letters, words, pictures, mathematical operations).
? The ability to communicate information and ideas in speaking so others will understand.
? Strong interpersonal and communication skill.
? Superb communication and computer skills to talk with clients and make hotels and lodges bookings.
? Ability to organize his/her own work.
? The ability to see details at close range (within a few feet of the observer).
? The ability to tell when something is wrong or is likely to go wrong.
? The ability to apply general rules to specific problems to produce answers that make sense.
? The ability to read and understand information and ideas presented in writing.
