L onAdd HR Consultancy Plc (www.lonadd.com) is a Recruitment & Outsourcing Company based in Addis Ababa, Ethiopia, with branch offices in Dukem, Hawassa and Bahir Dar. We are looking to recruit a qualified candidate on behalf of our client.

Job Purpose

Tulu Kapi Gold Mine S.C. (TKGM) is a flagship gold mining development project implemented by KEFI Gold and Copper PLC in close collaboration with the Government of Ethiopia. It is currently establishing its central office facilities in Addis Ababa.

The role is critical in Providing the required Strategically sourced materials and services to TKGM operations at the desired time, enforces the procurement mechanisms, designates, organizes, delivers, and purchases items.

Reporting to the Commercial Manager, the role forms an integral part of the Procurement and contract management Team, tasked to be accountable for rendering a Strategic sourcing Services to the operations.

The Sourcing Admin Clerk supports the procurement team by maintaining visibility of procurement activities, tracking purchase requests and contract milestones, coordinating status updates, and ensuring complete and accurate records are maintained.

Provide administrative and coordination support to the Strategic Sourcing function by monitoring procurement progress, maintaining procurement trackers, communicating status updates to stakeholders, and ensuring procurement documentation is accurate, current, and accessible.

Finaly, the role Look after the proper procurement process is adhered to strategic category and local purchased materials and services.

Accountabilities for this Role

Procurement Process Tracking and Expediting

  • Monitoring the end-to-end procurement process from Purchase Requisition (PR) initiation to Purchase Order (PO) issuance and delivery completion.
  • Ensuring procurement activities progress according to agreed timelines.
  • Identifying and escalating procurement delays, bottlenecks, and overdue actions.
  • Maintaining visibility of procurement status for all active requests.

Procurement Reporting and Management Information

  • Preparing accurate weekly and monthly procurement status reports.
  • Developing and maintaining procurement dashboards and trackers.
  • Providing management with timely and reliable procurement information.
  • Analysing procurement data and highlighting key issues and trends.

Contract Administration and Monitoring

  • Tracking contract milestones, obligations, deliverables, and key dates.
  • Monitoring contract expiry and renewal requirements.
  • Coordinating contract approval and execution processes.
  • Ensuring contract records remain current and complete.

Stakeholder Coordination and Communication

  • Coordinating procurement status updates between internal stakeholders and suppliers.
  • Communicating progress, risks, and pending actions.
  • Following up with responsible parties to ensure commitments are met.
  • Supporting collaboration across procurement, finance, legal, and operational teams.

Supplier Follow-up and Action Management

  • Monitoring supplier commitments and delivery schedules.
  • Following up outstanding actions with suppliers.
  • Escalating supplier performance issues when necessary.
  • Maintaining action registers and tracking completion status.

Procurement Records and Document Management

  • Maintaining complete electronic and hard-copy procurement records.
  • Ensuring all procurement documents are accurately filed and archived.

•  Implementing document control procedures.

•  Ensuring documentation is readily accessible for audits and reviews.

Compliance and Governance

  • Ensuring procurement activities comply with company policies and procedures.
  • Verifying procurement documentation meets governance requirements.
  • Supporting internal and external audits.
  • Identifying and reporting non-compliance issues.

Requirements & Qualifications

Educational Background

  • Diploma or Bachelor's Degree in Supply Chain Management, Business Administration, Procurement, Logistics or related field. 
  • Supporting additional qualifications focusing on logistic management and/or finance will be an advantage.

Key Skills/Experience Required

  • Diploma or bachelor’s degree in supply chain management, Business Administration, Procurement, Logistics or related field. 2-4 years’ experience in procurement administration, document control, contract administration support, or supply chain support roles. Good ERP and Microsoft Excel skills.
  • Demonstrated experience in working as document and record keeping expert in Procurement of Engineering items, chemicals, standard items and have category, strategic items and local buyer knowhow.
  • Proven track record of procurement administrative clerk acquiring on time updates from different category buying team.
  • Excellent organizational, communication, and stakeholder management skills.
  • Experience in working on ERP system.
  • Extensive experience in working with cross functional team.
  • Knowledge of procurement lifecycle management and contract tracking.
  • Strong compliance and document control discipline.
  • Advanced knowledge of Microsoft 365 and Strong Office suite (Word, excel).
