Job Purpose

The Senior Cost & Inventory Accountant is responsible for managing and analyzing the cost of coffee procurement, processing, roasting, packaging, and other production activities. The position provides accurate and timely financial information to support production planning, Inventorying, cost control, inventory management, pricing decisions, and management decision-making.

The role works closely with the Finance, Production, Procurement, Supply Chain, Warehouse, and other relevant departments to ensure accurate recording and analysis of production costs, inventory movements, coffee yields, production losses, and Inventory performance

Key Duties and Responsibilities

Cost Accounting and Production Cost Management

  • Prepare and monitor the cost of coffee production, including green coffee beans, packaging materials, direct labor, factory overheads, utilities, and other production-related costs.
  • Calculate and analyze the cost of roasted and packaged coffee products.
  • Monitor the movement and consumption of green coffee beans throughout the production and roasting process.
  • Analyze coffee production yield, roasting loss, moisture loss, wastage, and other production variances.
  • Compare actual production consumption against standard/BOM consumption and investigate significant variances.
  • Prepare monthly production cost reports and provide explanations for material cost movements.
  • Analyze direct and indirect production costs and identify opportunities for cost reduction.
  • Monitor the cost per kilogram of green coffee, roasted coffee, and finished products.
  • Review and update standard costs where applicable based on changes in raw material prices, production costs, exchange rates, and other relevant factors.
  • Support management in evaluating the financial impact of changes in production processes, product specifications, packaging, and sourcing.
  • Monitor factory overhead allocation and ensure costs are appropriately allocated to production and finished products.

Coffee Raw Material and Inventory Control

  • Prepare and process monthly payroll accurately and on
  • Manage and monitor daily inventory movements of green coffee beans, roasted coffee, packaging materials, work in progress (WIP), and finished products.
  • Ensure timely and accurate recording of inventory receipts, transfers, production consumption, and issues.
  • Verify the accuracy of landed costs for imported production inputs and other applicable procurement costs.
  • Ensure production inputs are accurately captured in the ERP system and properly integrated with the General Ledger.
  • Conduct and coordinate monthly physical inventory counts for production-related materials and finished products.
  • Reconcile physical inventory balances with ERP/accounting records and investigate discrepancies.
  • Prepare monthly inventory valuation reports.
  • Monitor inventory aging, slow-moving and obsolete materials and provide reports to management.
  • Analyze inventory losses, wastage, adjustments, and production variances and recommend corrective actions.
  • Ensure proper valuation of green coffee, WIP, roasted coffee, packaging materials, and finished goods in accordance with applicable accounting policies.. 

Financial Systems and Reconciliation

  • Ensure accurate implementation and use of ERP systems for inventory, production, costing, and financial reporting.
  • Monitor the integration between inventory, production, purchasing, and General Ledger modules.
  • Reconcile inventory and production sub-ledgers with the General Ledger on a monthly basis.
  • Investigate and resolve discrepancies between physical stock, ERP records, and accounting records.
  • Ensure proper coding and classification of production-related transactions.
  • Work with relevant departments and ERP support teams to resolve system and costing-related issues. 

Management Reporting and Financial Analysis

  • Prepare monthly management reports on production costs, inventory, and cost variances.
  • Prepare cost-per-unit and product profitability analysis when required.
  • Provide financial analysis to support pricing and product profitability decisions.
  • Prepare regular reports on coffee consumption, production yield, wastage, inventory variances, and production costs.
  • Provide timely financial information to the Finance Manager and management for decision-making.
  • Maintain accurate and complete records of all cost and Inventory-related activities.
  • Ensure all reports are accurate, complete, and submitted within the required deadlines.

General Responsibilities

  • Achieve agreed daily, weekly, monthly, and annual KPIs and targets.
  • Maintain proper documentation and records of all activities performed.
  • Submit accurate and timely reports to the Finance Manager.
  • Work closely with Production, Procurement, Supply Chain, Warehouse, and other departments to improve cost control and financial efficiency.
  • Provide support and coverage to other Finance team members when required.
  • Comply with company policies, procedures, financial controls, and applicable accounting standards.
  • Undertake any additional duties assigned by the Finance Manager and/or Chief Financial Officer.
  • Provide weekly updates on key activities, achievements, challenges, and pending actions.
  • To perform other duties when assigned by immediate manager. 

KEY PERFORMANCE INDICATORS (KPIs)

  • Accuracy and timeliness of production cost reports.
  • Accuracy of inventory valuation and reconciliation.
  • Accuracy of coffee production yield and cost analysis.
  • Timeliness of monthly inventory and cost variance reports.
  • Timely identification and reporting of significant cost variances.
  • Accuracy of ERP inventory and production records.
  • Timely completion of physical inventory reconciliation.
  • CAPEX Inventory monitoring and reporting.
  • Effectiveness of cost-control initiatives.
  • Compliance with financial policies and internal controls.

Requirements & Qualifications

Qualifications and Requirements

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field from a recognized institution.
  • Professional accounting certification such as ACCA, CPA, or equivalent is an added advantage.
  • Minimum of 4–5 years of relevant experience in accounting, preferably in cost accounting, management accounting, Inventorying, or financial analysis.
  • Experience in a manufacturing environment , preferably food and beverage, coffee, FMCG, or agro-processing, is highly preferred.
  • Experience working with ERP/accounting systems and inventory management modules.

REQUIRED KNOWLEDGE AND SKILLS

  • Strong knowledge of cost accounting and management accounting principles.
  • Good understanding of manufacturing and production costing processes.
  • Strong analytical and numerical skills.
  • Good knowledge of inventory accounting and valuation.
  • Ability to analyze production yield, wastage, consumption, and cost variances.
  • Strong Excel skills and ability to prepare financial models and reports.
  • Good knowledge of Inventorying and forecasting techniques.
  • Experience with ERP systems is highly desirable.
  • Strong attention to detail and accuracy.
  • Good communication and interpersonal skills.
  • Ability to work effectively with Finance, Production, Procurement, Warehouse, and Supply Chain teams.
  • Ability to work under pressure and meet reporting deadlines.
